1. Who we are

This privacy policy explains how personal data is processed when you visit mapsteps.com (the “Website”). It applies only to this Website. It does not cover our product websites or apps, which have their own policies.

2. What data we process, why, and on what legal basis

2.1 Contact form

If you contact us through the contact form (Contact Form 7), we process the information you enter in the form: your name, your email address, the subject and your message (all fields are mandatory). We use it only to read and answer your enquiry.

  • Legal basis: our legitimate interest in answering enquiries (GDPR Art. 6.1.f), or taking steps at your request before entering into a contract (Art. 6.1.b).
  • Storage: the Website does not store form submissions in its database. Messages are sent by email, delivered through Mailjet, to our inbox at Zoho.
  • Retention: we keep correspondence only as long as needed to handle your enquiry and follow-up, and normally delete it after 12 months.

2.2 Website analytics (Google Analytics)

We use Google Analytics to understand how the Website is used (for example which pages are visited and from which country). Google Analytics sets cookies and collects data such as your IP address (which Google uses to derive approximate location), device and browser information, pages viewed and time spent.

  • Legal basis: your consent (GDPR Art. 6.1.a), given through the cookie banner. Analytics cookies are not set before you consent. You can withdraw consent at any time (see section 6).
  • Retention: analytics data is kept for 14 months in Google Analytics and then deleted automatically.

2.3 Cloudflare (DNS and caching)

We use Cloudflare for DNS and caching. Traffic to the Website passes through Cloudflare’s network, so Cloudflare processes technical data such as your IP address and request information to deliver and secure the Website.

  • Legal basis: our legitimate interest in delivering a fast, reliable and secure Website (Art. 6.1.f).

2.4 Server logs and hosting

The Website runs on a server hosted at DigitalOcean and managed through RunCloud. Our web server automatically keeps technical logs (IP address, date and time, requested page, browser/user agent) for security and troubleshooting.

  • Legal basis: our legitimate interest in the security and stability of the Website (Art. 6.1.f).
  • Retention: logs are kept for 30 days unless needed longer to investigate a security incident.

2.5 Cookies

The Website uses cookies and similar technologies, and we use Borlabs Cookie to ask for and manage your consent. Strictly necessary cookies need no consent. Analytics cookies (Google Analytics) are only used if you accept them. You can change or withdraw your choice at any time via the cookie settings in the Borlabs Cookie banner or in your browser settings.

3. Who receives your data

We do not sell your personal data. We share it only with service providers that process it on our behalf or as independent controllers, as needed:

  • Google (Google Analytics)
  • Cloudflare (DNS and caching)
  • DigitalOcean (server hosting) and RunCloud (server management)
  • Zoho (email hosting) and Mailjet (email delivery)

We may also disclose data if required by law or by a public authority.

4. Transfers outside the EU/EEA

Some of the providers above are based in, or may process data in, the United States. Such transfers rely on the EU–U.S. Data Privacy Framework where the provider is certified under it, or on the European Commission’s Standard Contractual Clauses together with appropriate safeguards. You can contact us for more information about the safeguards used.

Our server is located in New York, United States.

5. How long we keep data

We keep personal data only as long as needed for the purposes above, as stated for each purpose. After that it is deleted or anonymised.

6. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict our processing;
  • object to processing based on legitimate interest;
  • data portability, where applicable;
  • withdraw consent at any time, without affecting processing done before withdrawal.

To exercise your rights, email us at connect[at]mapsteps.com. We will respond within one month.

If you believe your data is processed unlawfully, you have the right to complain to the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY): www.imy.se. You may also complain to the supervisory authority in your own EU/EEA country.

7. Children

The Website is not directed at children and we do not knowingly collect personal data from children.

8. Providing data

You are not required to give us personal data. If you do not use the contact form or accept analytics cookies, you can still use the Website. If you do not provide the information needed in the contact form, we may not be able to answer you.

9. Changes to this policy

We may update this policy. The latest version is always available on this page, with the date above.

2. Vilka uppgifter vi behandlar, varför och med vilken rättslig grund

2.1 Kontaktformulär

Om du kontaktar oss via kontaktformuläret (Contact Form 7) behandlar vi de uppgifter du anger i formuläret: ditt namn, din e-postadress, ämne och ditt meddelande (alla fält är obligatoriska). Vi använder uppgifterna endast för att läsa och besvara ditt ärende.

  • Rättslig grund: vårt berättigade intresse av att besvara förfrågningar (GDPR art. 6.1 f), eller åtgärder på din begäran innan ett avtal ingås (art. 6.1 b).
  • Lagring: Webbplatsen sparar inte formulärinlämningar i sin databas. Meddelandena skickas som e-post, via Mailjet, till vår inkorg hos Zoho.
  • Lagringstid: vi sparar korrespondens endast så länge det behövs för att hantera ditt ärende och eventuell uppföljning, och raderar den normalt efter 12 månader.

2.2 Webbanalys (Google Analytics)

Vi använder Google Analytics för att förstå hur Webbplatsen används (till exempel vilka sidor som besöks och från vilket land). Google Analytics placerar cookies och samlar in uppgifter som din IP-adress (som Google använder för att härleda ungefärlig plats), enhets- och webbläsarinformation, visade sidor och besökstid.

  • Rättslig grund: ditt samtycke (GDPR art. 6.1 a), som du lämnar via cookiebannern. Analyscookies placeras inte innan du har samtyckt. Du kan när som helst återkalla ditt samtycke (se avsnitt 6).
  • Lagringstid: analysdata sparas i 14 månader i Google Analytics och raderas därefter automatiskt.

2.3 Cloudflare (DNS och cachelagring)

Vi använder Cloudflare för DNS och cachelagring. Trafiken till Webbplatsen går via Cloudflares nätverk, och Cloudflare behandlar därför tekniska uppgifter som din IP-adress och förfrågningsinformation för att leverera och skydda Webbplatsen.

  • Rättslig grund: vårt berättigade intresse av en snabb, tillförlitlig och säker Webbplats (art. 6.1 f).

2.4 Serverloggar och hosting

Webbplatsen körs på en server hos DigitalOcean som hanteras via RunCloud. Vår webbserver sparar automatiskt tekniska loggar (IP-adress, datum och tid, begärd sida, webbläsare/user agent) för säkerhet och felsökning.

  • Rättslig grund: vårt berättigade intresse av Webbplatsens säkerhet och stabilitet (art. 6.1 f).
  • Lagringstid: loggar sparas i 30 dagar, om de inte behövs längre för att utreda en säkerhetsincident.

2.5 Cookies

Webbplatsen använder cookies och liknande teknik, och vi använder Borlabs Cookie för att inhämta och hantera ditt samtycke. Nödvändiga cookies kräver inget samtycke. Analyscookies (Google Analytics) används endast om du godkänner dem. Du kan ändra eller återkalla ditt val när som helst via cookieinställningarna i Borlabs Cookie-bannern eller i webbläsarens inställningar.

3. Vilka som tar emot dina uppgifter

Vi säljer inte dina personuppgifter. Vi delar dem endast med tjänsteleverantörer som behandlar dem för vår räkning eller som självständigt personuppgiftsansvariga, när det behövs:

  • Google (Google Analytics)
  • Cloudflare (DNS och cachelagring)
  • DigitalOcean (serverhosting) och RunCloud (serverhantering)
  • Zoho (e-posthosting) och Mailjet (e-postutskick)

Vi kan också lämna ut uppgifter om vi är skyldiga till det enligt lag eller av en myndighet.

4. Överföring utanför EU/EES

Vissa av leverantörerna ovan är baserade i, eller kan behandla uppgifter i, USA. Sådana överföringar grundas på EU–USA-ramverket för dataskydd (Data Privacy Framework) när leverantören är certifierad enligt detta, eller på EU-kommissionens standardavtalsklausuler tillsammans med lämpliga skyddsåtgärder. Kontakta oss om du vill veta mer om vilka skyddsåtgärder vi använder.

5. Hur länge vi sparar uppgifter

Vi sparar personuppgifter endast så länge det behövs för ovanstående ändamål, enligt vad som anges för respektive ändamål. Därefter raderas eller anonymiseras de.

6. Dina rättigheter

Enligt dataskyddsförordningen (GDPR) har du rätt att:

  • få tillgång till de personuppgifter vi har om dig;
  • få felaktiga uppgifter rättade;
  • få dina uppgifter raderade;
  • begränsa vår behandling;
  • invända mot behandling som grundas på berättigat intresse;
  • dataportabilitet, i tillämpliga fall;
  • när som helst återkalla ett samtycke, utan att det påverkar behandling som skett innan återkallelsen.

Om du anser att dina uppgifter behandlas i strid med reglerna har du rätt att lämna klagomål till Integritetsskyddsmyndigheten (IMY): www.imy.se. Du kan också vända dig till tillsynsmyndigheten i ditt eget EU/EES-land.

7. Barn

Webbplatsen riktar sig inte till barn och vi samlar inte medvetet in personuppgifter från barn.

8. Lämnande av uppgifter

Du är inte skyldig att lämna personuppgifter till oss. Om du inte använder kontaktformuläret eller godkänner analyscookies kan du fortfarande använda Webbplatsen. Om du inte lämnar de uppgifter som krävs i kontaktformuläret kan vi eventuellt inte besvara dig.
